<p><b>The role:</b></p>
<p>We are looking for a highly organized and detail-oriented Specialist, HR Shared Services to join our team in India. This role is critical in providing prompt, accurate, and consistent HR support to our employees. The ideal candidate will primarily manage the end-to-end onboarding process for new hires and efficiently resolve employee inquiries through our ticketing system.</p>
<p>Key Responsibilities</p>
<ul>

<p>Employee Onboarding Management</p>
<ul>
<li>
<p>Manage the complete pre-boarding and onboarding lifecycle for new employees in India.</p>
</li>
<li>
<p>Ensure timely collection, verification, and processing of all required new hire documentation (e.g., identity proof, education certificates, background check forms).</p>
</li>
<li>
<p>Coordinate with internal teams (e.g., IT, Payroll, Facilities) to ensure a seamless Day 1 experience, including system access, equipment setup, and workspace readiness.</p>
</li>
<li>
<p>Conduct HR-related induction and orientation sessions, explaining company policies, benefits, and HR processes.</p>
</li>
<li>
<p>Maintain accurate and up-to-date employee records in the HRIS (Human Resources Information System).</p>
</li>
</ul>
</li>
<li>
<p>HR Ticket Handling and Query Resolution</p>
<ul>
<li>
<p>Serve as the first point of contact for HR-related queries from employees, managers, and external partners via the HR Shared Services ticketing system.</p>
</li>
<li>
<p>Efficiently manage and resolve a high volume of tickets related to various HR topics, including policies, standard operating procedures (SOPs), benefits, and data changes.</p>
</li>
<li>
<p>Ensure all tickets are logged, categorized, tracked, and resolved within established Service Level Agreements (SLAs).</p>
</li>
<li>
<p>Escalate complex or specialized issues to the appropriate HR Centers of Excellence (CoE) or other departments, ensuring a smooth handoff and follow-up.</p>
</li>
<li>
<p>Contribute to the continuous improvement of the knowledge base by documenting resolutions and frequently asked questions (FAQs).</p>
</li>
</ul>

<p>Compliance and Audit Support</p>
<ul>
<li>
<p>Ensure strict compliance with all local Indian labor laws and company policies during the onboarding and record-keeping processes.</p>

<p>Support internal and external HR audits by providing necessary documentation and data.</p>

</ul>
<p><b>What you’ll bring:</b></p>
<ul>
<li>
<p>3–4 years of experience in an HR role, with a focus on onboarding and compliance in large employee organizations (at least 3000 employees)</p>
</li>
<li>
<p>Bachelor&#8217;s degree in Human Resources Management or a related field.</p>
</li>
<li>
<p>Strong knowledge of statutory labor laws and regulations.</p>
</li>
<li>
<p>Proficient in HRIS and other relevant software.</p>
</li>
<li>
<p>Excellent communication, interpersonal, and organizational skills.</p>
</li>
<li>
<p>Ability to work independently and as part of a team.</p>
</li>
</ul>

<p><strong>POSITION SUMMARY</strong></p>

<p>Assist and support management and the leadership team with handling and resolving Human Resources issues. Assist employees with internal and external transfer requests and procedures. Monitor and assist managers/supervisors with hiring processes and issues. Coordinate and conduct applicant drug screens, reference checks, background checks, motor vehicle checks, and social security number verification. Maintain applicant flow, drug screen, orientation and transfer request logs. Create and maintain new hire and personnel files and enter them into Human Resources Information Systems. Assist with orientation of new employees. Monitor all hiring and recruitment processes for compliance with all local, state, and federal laws and company policies and standards. Ensure accurate maintenance of all employee records and files (e.g., interview documents, I-9&#8217;s). Support processing and maintenance of payroll records in accordance with policies and procedures, as necessary. Inform Human Resources management of issues related to employee relations within the division or property. Create and maintain filing systems. Generate Human Resources data reports as necessary Answer phone calls and record messages. Create and type office correspondence using computer. Serve as Human Resources subject matter expert and participate on project teams. Train new hires on Human Resources processes, programs, policies, information systems, etc.</p>

<p>• Supports a departmental orientation program for employees to receive the appropriate new hire training to successfully perform their job.</p>

<p>• Uses all available on the job training tools for employees; supervise on-going training initiatives and conducts training, when appropriate.</p>
<p>• Ensures coordination and facilitation of new hire orientation program to generate a positive first impression for employees and emphasize the importance of guest service in company culture.</p>
<p>• Ensures attendance by all new hires and participation of the leadership team in training programs</p>
<p>• Collaborates with management team to ensure departmental orientation processes are in place and employees receive the appropriate new hire training to successfully perform their job.</p>

<p>• Assists in maintaining effective employee communication channels in the property (e.g., develops daily communications and assists with regularly scheduled property-wide meetings).</p>
<p>• Reviews progressive discipline documentation for accuracy and consistency, and checks for supportive documentation and is accountable for determining appropriate action.</p>
<p>• Utilizes an “open door” policy to acknowledge employee problems or concerns in a timely manner</p>
<p>• Ensures employee issues are referred to the Department Manager for resolution or escalated to the Director of Human Resources/Multi-Property Director of Human Resources.</p>
<p>• Partners with Loss Prevention to conduct employee accident investigations, as necessary.</p>
<p>• Communicates performance expectations in accordance with job descriptions for each position.</p>

<p><strong>Managing Legal and Compliance Practices</strong></p>
<p>• Ensures employee files contain required employment paperwork, proper performance management and compensation documentation, are properly maintained and secured for the required length of time.</p>
<p>• Ensures compliance with procedure for accessing, reviewing, and auditing employee files and ensure compliance with the Privacy Act.</p>
<p>• Ensures medical records are maintained in a separate, secure and confidential medical file.</p>
<p>• Facilitates random, reasonable belief and post accident drug testing process (in properties where applicable).</p>
<p>• Communicates property rules and regulations via the employee handbook.</p>
<p>• Ensures all safety and security policies (e.g., property removal, lost and found items, blood borne pathogens, accident reporting, and hygiene) are communicated to employees on a regular basis through orientation, property meetings, bulletin boards, etc.</p>
<p>• Conducts periodic claims reviews with Regional Claims office to ensure claims are closed in a timely manner and reserve levels are appropriate for open claims.</p>
